Minutes, February 9, 2007 Board Meeting
Meeting called to order at 3:00 PM.

Motion to approve minutes of January 12, 2007 meeting, seconded, passed.
Financial Report by Bev Rothenborg. January budget report indicates the Association is $18,800 over budget for the year. Majority of this is with Maintenance and Repair which is reflective of work done earlier in the year. Compared to budget for the year for this caption, M&R expenses should come into line later in the year. Other captions look OK. As of Feb. 2 all members but one have paid their dues. Quarterly Reserve contribution will be made. Changes needed to the financial statements format.
Landscaping report by Bob Edelblut - Bob will be gone from February 12 to April 5. Pegi will fill in for him. Bob preparing letter for D&D Landscaping outlining work that needs to be done over the next few months. Landscaper may be able to deal with some of the drainage issues on the North Chandler bank. Bob will inquire of those capabilities.
Maintenance and Repair report by Pegi Graham. Homeowner reports of rodent entry into some buildings through missing or damaged foundation vent screens. Screens have been repaired or replace and caulking around dryer vents where they exit the foundations has been done. Rodents have been exterminated. Some reports of gutter leaks. Repairs planned. Major gutter inspection and repair slated for next FY.
Old Business
● Aspect Consulting has complete their inspection of the bank behind North Chandler. The report states there is no immediate risk of slope instability. Two items that may contribute to soil erosion need to be addressed. One, remove the trees that blew down and their root balls, regrade and compact the loosened soil and plant with new vegetation. Two, repair/replace damaged drain lines that carry water run off from roofs down the bank to the bay. Discussions underway as to who will do the work.
● It is time to begin looking at work that needs to be done in the next fiscal year. Under Repairs and Maintenance, anticipated work projects include repairs to driveways/sidewalks, inspections of gutters and downspouts and repairs to same, rebuild entry stairs at Bldgs. 2 and 18, painting, cleaning, inspection/replacement wind shrouds and chimney caps. Landscaping project include removal of large trees that are endangering sidewalks, driveways, and buildings.
● House Rules update. Board members have all submitted proposed revisions/additions to Pegi Graham who will incorporate into a new draft for review and consideration at the March Board meeting.
● Update to the Reserve Study conducted last year continues. Data from the update will be incorporated into a new spreadsheet that should give a comprehensive projection of future repair/replacement needs and associated costs. It is anticipated that when complete, the Reserve Study will be a valuable tool to assist in determining future financial needs of the Association.
New Business
By mutual agreement, the Property Manager has terminated his services with IHVCA. To help compensate for this change, the Board is considering the establishment of a number of committees to oversee certain projects of importance. Those committees would include finance, bank remediation, concrete, and others. Committee chair people are being determined at this time. Anyone wishing to contribute their services as a committee chair person would be most welcome.
