Board of Directors Meeting
February 13, 2009
The meeting was called to order
by Dan Quail, President. Board members present: Dan
Quail,
Pegi Graham, Jan Lucas, Ruth Seaberg.
Also present was Dan Lanksbury, Property Manager.
Minutes of the January 9 Board Meeting were approved.
Financial Report – Pegi Graham
Pegi reviewed the financial report . All dues have been received except two. Any late fees will be deposited in the CD. The CD expires March 17, so we will have to decide where to put it next year.
Replacement of two broken pipes that froze, together with new valve and insulation, cost $796.
Property Manager Report
Dan explained gutter work that needs to be done on Buildings 1, 2 and 18. The Board approved this work, as well as any other gutter repair that he deems necessary after inspection.
The rhododendrons in courtyard of Building 2 need replacing. The Board approved this expense.
Other optional cosmetic improvements to this area will be the responsibility of the homeowners.
Dan presented estimates of cost of new hot water heaters, which are the responsibility of homeowners. He will get more information and the Board will consider the issue at a working meeting.
A total of 74 trees were pruned during January and early February. Gardens were cleaned up as well as grounds between buildings. This means we are ahead of schedule for the year.
Extensive repair to the roof on Building 3 is necessary due to a leak. The Board approved using Cloise and Mike Construction, who had the lowest bid, to do this work.
Dan has researched
t he problem of bat control and has
found a company that will come to Jefferson County.
He will develop some cost
information and the Board will
make a decision on whether to proceed
Dan recommended taking out three damaged small trees by Building 11. The Board approved this action.
Work on weather stripping on garage doors is in progress.
Old Business
The Board voted to
have Dan Lanksbury receive and process contractor invoices, subject to
approval by the Treasurer, who will
sign the checks.
A motion was made and passed
to notify members in the
Minutes and Newsletter that the
Board meeting time has been changed to 10:00 a.m. on the second Friday of each
month.
Jan reviewed the Resale Certificate that she revised after much work and research. We will finalize it at a working meeting.
Jan presented the options available to members after Broadstripe Cable TV is cancelled. We will no longer be able to have the bulk rate of $32.60 per unit. We will discuss this further at a working meeting and will notify residents.
Dan Quail reviewed the reserve study, which was updated in June 2008. He suggested some options for spreading out the cost of anticipated painting and repairs.
Dan Quail reported on a recent Drainage District president’s meeting. It was agreed by the Board that it would be of no benefit to Inner Harbor to be part of the District.
Jan presented prices for chimney cleaning by Quality Chimney Care. If 6 or more sign up, the price will be $105.00 per unit. If chimney does not require sweeping,l the chimney inspection will be $75.00. Those interested should call Jan Lucas at 437-7671. A letter to this effect will be sent to residents.
A working meeting will be held on Thursday, February 26, 2009 at l0:00 a.m. to further consider
the issues of resale certificates, hot water heaters and TV cable service.
