Board of Directors Meeting

June 11,2009

 

Dan Quail, President, called the meeting to order.   Board members present:  Dan Quail, Pegi Graham, Ruth Seaberg.  Dan Lanksbury, Property Manager, was also present.

Minutes of the May 8, 2009, meeting were approved.

Financial Report - Pegi Graham

The financial report was reviewed.  Utilities, landscaping and administrative expenses were under budget.  Repairs were over budget, but overall expenses were under budget.

Landscaping Report   - Dan Lanksbury 

Landscape activities included brush cutting, tree trimming and pruning, weed control, clearing of undergrowth and dead or damaged trees, sprinkler work 

Property Manager Report

Trim painting has been completed.

Approximately ten chimney caps need to be replaced.  Mike Perillo will perform the necessary work.

Water heater replacement  has started, with approximately 11 replacements completed.

Other activities included clearing of debris from culvert behind Building 12, cleaning of  two dryer vents because of sparrow nesting materials, and dry rot repair on railing post at Building 12.

In order to stay on reserve budget, we should extend  time for painting which is due to begin  in 5 years.  Necessary caulking will be done 

Old Business

Dan Quail reviewed the proposed operating budget. The Board voted to approve the budget.  There will be no increase in dues.  The Board approved $27,263 to be put into the reserve account for future expenses.

The three year insurance policy with CAU has been accepted, with an annual premium of approximately $18,824, plus an additional $1,400 for a liability umbrella policy.

The internal audit is in progress

New Business

The agenda for the annual meeting on June 20, 2009, was discussed.  The Board will meet again on  Friday,June 19 , at 10:00 a.m. to make final preparations for the meeting.

The meeting adjourned at 12:00 noon.
