BOARD OF DIRECTORS MEETING
AUGUST 14,
2009
President Dan Quail called the meeting to order.
All board members were present:
Dan Quail, Bill Lane, Marianne Barber, Gregg Hupp and Ruth Seaberg.
Dan Lanksbury, Property Manager, was also present.
Minutes of the July 10 meeting were approved.
Financial Report - Marianne Barber
Marianne reviewed the
financial report. Dan Quail
explained the budget report.
Dan and Marianne will meet with our accountant, Linda Cook, to clarify
some minor discrepancies. Dan
Lanksbury reviewed bill processing.
He will handle all contractor invoices, with Marianne’s approval.
Landscaping Report – Dan
Lanksbury
Landscape expenses were under budget for July.
Some rhodies were replaced and
the sprinkler system was improved to provide better coverage for
brown-out areas.
West Valley Tractor
has estimated a cost of $2800 for landscaping on waterside area of
Buildings 1 through 4. The Board
will look at it and determine if a
less expensive alternative can be achieved.
Maintenance Report – Dan Lanksbury
A motion was
made and passed to approve $4,000 for necessary caulking and painting on
Buildings 1 through 5, 6, 7 and 18.
This preventive maintenance will allow putting off painting in the future, which
will be paid from the reserve fund.
The buildings were painted in 1999.
Dan will talk to Mike Perillo about
options for chimney pressure washing and replacing chimney caps.
Gregg Hupp will draft a letter to
homeowners who have not replaced their hot water heaters notifying them of their
liability in case of failure.
The driveway at Building 18 was
replaced by Sound Concrete Solutions.
Dan will work with contractors to evaluate options to repair or replace
the concrete support curbs under the
lower entry rails.
The beaver problem is ongoing.
Before getting a more expensive solution, we will clear the area of
debris used for their building materials and also install
six solar lights to deter them.
It was suggested that we try spraying
with WD40 for the bat problem at three buildings, as the stick-on deodorizers
did not seem to work
Dan will contact Dan Lipton regarding
dryer vent cleaning.
Old
Business
A motion was made and passed to do
necessary repairs on the skylights at Building
9, at a cost of $1,150.
Dan Quail reviewed the SBCA annual
meeting. Main issues were
drainage and the Iron
Mountain problem.
Dan reviewed our insurance coverage.
The umbrella policy is separate from the master policy but
is also administered by CAU.
We have received a favorable audit
review from Donna LaFrere for the
fiscal year ending June 30, 2008.
Dan stressed the importance of having a
certificate of insurance from contractors before starting work, in order to
protect our liability.
It was decided to have a community
party on Labor Day, with Bev Rothenborg as organizer and Bill Lane as chef
