BOARD OF DIRECTORS MEETING
SEPTEMBER 11, 2009 – MINUTES
The meeting was called to order by Dan Quail, President.

Financial Report
– Marianne Barber
Operating expenses for this fiscal year total $26,543 vs budget of $33,436. Same situation for Reserves expenses which are$3,480 vs budget of $14,696, We are behind on much of the summer work due to delays in getting competitive bids from contractors, and other factors. September and October will be catch up months. Checking account balance on August 31 was $12,771. Reserve balance was $76,711.
Landscaping Report – Dan Lanksbury
Landscaping expenses were five percent below budget for August.
Dead trees on the corner of Spinnaker and S. Keel need to be removed. One may be on County property and it will be necessary to interface with proper authorities to have it removed. That action has begun. Bids are being obtained to remove the trees.
Motion made and passed to spread beauty bark behind Bldgs. 1-4 and 12 to improve landscape. Bushes around perimeter of buildings to be trimmed back away from foundation walls in October. Foundation vent screens to be inspected for rodent entry.
Maintenance & Repair Report – Dan Lanksbury
Beaver dam in wetlands area behind Bldgs 11 and 12 is an ongoing issue. Arrangements are being made to fabricate a “Beaver stop” that will fit into the drainage culvert to hopefully prevent blockage of drainwater by over zealous beavers.
BOD approved funds for scraping and painting of weathered chimney caps. Those that are rusted below the surface of the metal to be replaced with stainless steel.
Upon completion of the chimney caps, the discolored chimneys will be washed and prepped for painting next spring/summer.
BOD approved facing the concrete curb supports for the lower handrails on building 18 with composite material that will match the handrails on the upper stairs.
Property manager will evaluate drainage issue behind Bdlg.
1 to insure rain water drains into
Bids forthcoming to replace the handrails on Bldg 2. Will try to combine with several other projects to the best bids.
Front concrete porch on Bldg. 9A is sagging due to ground settlement. May be water leak. Several fixes discussed. BOD agreed to proceed with shimming the top of roof support posts unless there is clear evidence the problem is related to a water leak.
Re-caulking of siding, window sills, joints, etc., where needed, to be done in the next two months. Areas that are re-caulked will be repainted.
Leaking gutters on Bldg. 18 to be repaired next week.
On going issues with bats. Test 1X2 trim board to be installed on Bldg 4 below the roof tile to see if it works, and to evaluate affect on building appearance.

We are close to having all the old hot water heaters replaced. A couple remain and we are optimistic the plumber can get these taken care of in the next week or two.
