BOARD OF DIRECTORS MEETING

NOVEMBER  13, 2009 

The meeting was called to order   by Dan Quail, President.  Board members present:  Dan Quail, Marianne Barber, Ruth Seaberg.  Also present was Dan Lanksbury, Property Manager.

Minutes of the October 8, 2009, meeting were approved. 

Financial report – Marianne Barber

Current balance in checking account  is $21,340, as of October 31.  Operating expenses are $9,437 under budget.   Balance in reserve account is $76,711.  We are on or below budget in all areas. A motion was made and passed to increase the monthly fee of our bookkeeper from $75.00 to $100.00 per month. 

Maintenance and Repair Report – Dan Lanksbury

Dan provided members of the board an updated contractor list.
 
Peninsula Pavers will be asked to assess conditions of road surfaces in Inner Harbor.

After trying various solutions that did not work to eliminate the bat problem, Dan will try putting steel wool in their habitat.   He will also consider building bat houses to lure them elsewhere.

IHVCA is trying to have SBCA, Hidden Cove and IHVCA share  the  $1,089 bill for the beaver screen which has been installed. Annual maintenance will be approximately $500.00 per year. The screen appears to be working, with good water flow.

The Board discussed the issue of  liability insurance.

Rail replacements on Buildings 1 and 2 are nearly completed.

Gutters are currently being cleaned out.  Window washing will start soon.

All hose bibbs have been covered with Styrofoam insulation caps  to minimize the potential for freezing.

All crawl space vent screens have been checked and replaced or repaired as necessary. 

Landscape Report – Dan Lanksbury 

Landscape expenses were under budget for October.  Year to date the landscape budget is 9.2% under budget.

Two dead trees at the southwest corner of Spinnaker and So. Keel were cut down.  Dan Quail and Greg Lucas split the wood, moved and stacked  it in the woods behind Building 10.  Homeowners  are welcome to use it.

The Board is actively trying to recruit new members.

The meeting adjourned at l2:00 noon.
