Minutes of February 10, 2006,  Unapproved


1. Meeting called to order by Dan Quail, Acting President for February at 3:00 p.m., February 10,1 2006, at the Bay Club

Members present: Dan Quail, Pegi Graham, Bev Rothenborg, and Jack McKay

Quests: Janet Force, Frosty and Dorothy Foust, and Irene Kaiser

2. Minutes of January 3, 2006, were approved.  http://www.plvc.org/ihvcamin010306.htm

 

3. Sign Management (revised) contract:  Delayed to the March meeting.  Starting dates needed to be updated.  The IHVCA does have insurance coverage for the Management Company.

4. Audit Report:  Janet Force reported that the audit (voted on by the members present at the annual meeting) was almost complete. The IHVCA will need to pay taxes on earned interest on investments, approximately $500.  Audit expense is estimated to be $3,000.

5. Financial Report for January.  YTD revenues are $89,849.68 or 74% of the budgeted revenues.  YTD expenditures are $71,258.63 or 64% or budgeted expenditures.

6. Requests of the IHVCA Board by Frosty Foust.
    a. Request to install a night light by the stairs leading to their front door, at their expense.  Approved
    b. Request to trim bank of brush to not lower than 18 inches and down to the high water mark of the bank, at their expense. Approved
    c. Request to notify the owners of 81D to need to clean deck and railings of mildew. Power washing and painting to be at owner's expense.  Secretary will write letter of concern to the homeowner  (It is the owner's responsibility to maintain the decks).  Approved.

 

7. Landscaping Report by Dan Quail
    a. Approved removal of branch located near Barber's, caused by storm damage
  
 
8. Maintenance Report by Pegi Graham
    a. Update on chimney cleaning, road repair, roof repairs, gutter replacement, dryer vents, dry wall repair caused by rain, stair step covering, and skylight repair
    b. Request of Emery delayed until Emery has response back from the contractor and PLA about repairs.
    c. Major repair projects for 2006: Reviewed list of major repair projects

Roof cleaning $4,000
Clean gutters and windows $3,000
Street repairs $3,000
Cleaning and painting chimney shrouds $4,000
Apply moss killer to roofs $300
Painting buildings $5,000
Power washing driveways and patios $1,000

Major repairs
Replace deck at bldg. 16  $7,000
Replace skylight bldg. 15 $1,500
Cover three sets of stairs $5,000

   
   
7. Reserve Study update:  Should be completed for presentation at the March meeting.
 
9. Update on Garage Sale request:  Approved to permit one garage sale date for the IHVCA.  Unless a request for a different date, the IHVCA garage sale date/day is the second Saturday in June.  Host is limit to two signs and must direct car drivers to park only designated areas.
 
10. Presidents' Meeting of SBCA: Reported on proposed expansion of the Bay Club.
